This article describes the intricacies of Baton's custom fields

Overview

Custom fields in Baton are meant to be a simple way to create and manage information specific to your team. Custom fields are created on a workspace level and are automatically added to every template and project in your workspace with empty values upon creation.


Custom Field Types

To allow for all different types of data, Baton allows you to select from several different types of fields:

Dropdown

This type of custom field allows you to create a list of possible options to be selected from by users. These options can be added, edited and deleted at any time. You can further configure this type of custom field to allow users to select a single or multiple options for each template or project.

Numeric

This type of custom field allows users to enter only numeric data on a template or a project, text or special characters cannot be entered.

Free Text

This type of custom field allows users to enter any text when from a template or project. This field will not exclude other types of data such as numbers or characters.

Date

This type of custom field allows users to enter any date from a template or project. This field will allow a user to pick any date from the prompted calendar or manually enter a date in the format of "Jan 1, 2022" or MM/DD/YYYY (this format will be automatically reformatted).

As of 2023, users are now able to automate this type of field, allowing this date to be generated from the date of a project, milestone or task.

To configure this, turn on the setting to "Automate this custom field". After this configuration, further configuration will exist on a template or project.

On a template or project, this field will show the option to select a date field from the following options:

  • Project Start Date

  • Project Due Date

  • Project Startred Date

  • Project Completed Date

  • Milestone Start Date

  • Milestone Due Date

  • Milestone Started Date

  • Milestone Completed Date

  • Task Start Date

  • Task Due Date

  • Task Started Date

  • Task Completed Date

Once a date field type has been selected, the user may be prompted to select the exact milestone or task to be referenced. If the date exists, it will automatically populate in the area below.


Any changes to the date of the selected project, milestone or task date will automatically update this field.

Date Formula

This type of custom field allows the user to generate a length of time (in days) between two dates (configured on the template and project level).

When configuring this type of custom field on a template or project, users will be prompted to select a start date field and an end date field. Similar to automated date custom fields, users will be given options to select from the following list:

  • Project Start Date

  • Project Due Date

  • Project Startred Date

  • Project Completed Date

  • Milestone Start Date

  • Milestone Due Date

  • Milestone Started Date

  • Milestone Completed Date

  • Task Start Date

  • Task Due Date

  • Task Started Date

  • Task Completed Date

  • Custom Field

  • Fixed Date

Once configured, the value for this field will display the number of days between the selected start date field and the selected date field. This value will automatically update upon any changes made to either date field.



Creating a Custom Field

Step 1: From the settings menu in the left navigation bar, select the "Manage Workspace" option.

Step 2: Under General Settings, select Custom Fields.

Step 3: To create a new custom field, select "+ New Custom Field" in the upper right corner of the screen.

From this page, you are able to add a custom name for your field, include a description, and configure different settings based on the field type.

The area on the right side of the screen allows you to preview how this field will appear in a template or project. Any interaction in the preview section will not affect the field.

Step 4: Select Create to create your custom field.

Upon creating your field, it will automatically appear on every template and project in the workspace with a null value (unless a default value has been explicitly set).

Inheriting Custom Field Values from Templates

Following updates in 2023, you can now configure your custom fields across templates to ensure the specified custom field values are inherited on any project created from that template depending on configuration settings (see below).

You can find these custom field values in several locations across the product such as Project List View, Project Board View, Project Filters, and Template/Project Details.
