Time Tracking

Track billable and non-billable time effort at the project or task level. Record time as you work or easily log hours at the end of the day or week. Time Tracking & Timesheets are available with our Accelerate and Enterprise plans. Please contact your CSM for additional information.

Disclaimer: All time tracking features will be internal only. Time tracking will not be shown in the client view.

Definitions

Effort

Effort is the number of work units (hours and minutes) required to complete the activity. We'll learn more on how to enter estimated and track actual effort in the article.

Duration

Duration is the total time (days) to complete the activities based on the resources available to the project. Learn more on how to enter or edit duration in Project Creation & Planning.

Entering Estimated Effort

To enter estimated effort on the project level:

  • Go to the Details section in any project or template

  • Enter the hours and minutes in the Estimated time (Effort) fields

  • From there a new Hours Used bar will appear to track the actual hours used over the estimated hours set

  • Baton assumes there are 8 work hours per day

To enter estimated effort on the task level:

  • Go to the Tasks section in any project or template

  • Enter the estimated hours and minutes in the Estimated time (Effort) fields

Note: The estimated effort will show in the task row once entered.

Tracking Time

Time can be tracked from any project or from the Tasks view. From within Tasks view, click on the icon within the Tracked column of the task you wish to track time against.

From a project, Click on Track time or any task to begin tracking effort spent on a task. The Track time menu will show the estimated time entered for the project, and total project time tracked from all team members.

In the Track time menu you can also:

  • Select to track time on the level or any task by opening the `What are you tracking time for` search bar

  • Manually enter time tracked for yourself or another team member by opening the `Team member` search bar

  • Select a date

  • Manually enter time using the `Track time` fields

  • Select if time spent is billable or non-billable

  • Enter notes

Timesheets

You can view your timesheet from the Resources tab in the main navigation of your workspace. From this page, users can add a new time entry and edit or delete an existing entry.

In your timesheet you can:

  • View time tracked on all projects

  • Select a project you have tracked time for

  • Search for a specific task

  • Delete or edit any time tracked by clicking on the three dots on each task row

Setting Default Hours As Billable

As an admin, you can set tracked hours to default as being billable or non-billable in Workspace Settings. This will change the default setting when tracking hours, but users can always toggle this setting when they track time.

Weekly Reminder Email Notification for Tracking Time

As an admin, you can enable this time tracking email reminders from the admin settings section under workspace management. By default, this notification will be sent every Friday at 4pm EST, if someone has a task due for that particular week.
